Why 2015 is a tipping point for document management in Australia

There’s no doubt about it: on-premise document management is really difficult.

I know this first hand from my past job roles, and it’s a constant topic with IT leaders from firms who struggle with the shortcomings of their current document management system (DMS).

Over the last 18 months, I’ve been lucky enough to chat with lots of IT leaders about document management.  Most talk of problems with DMS which centre on these three themes:

  1. It’s hard to manage. An on-premise DMS requires large amounts of hardware, software and time – all of which need managing. And any upgrade projects embarked upon are typically long, boring, resource vacuums.
  1. It lacks the features users want. Professionals today expect a modern interface and the capacity for mobile use, external sharing, extranets and secure file delivery – and they’re frustrated and less effective without them.
  1. It’s too hard to change. Many IT leaders feel they’re locked into their old school DMS, and as a result, think there is little alternative but to continue to plug gaps and throw resources at it.

But the good news is that it doesn’t have to be like this.

Introducing NetDocuments Email

An exciting day – NetDocuments announces the Decisiv Email acquisition, gathering some great press along the way.

Rebranded as NetDocuments Email, here’s what it does (extract from FAQ document, my italics emphasis added);

  • Predictive filing to the DMS – The Decisiv technology allows for robust predictive filing based on key criteria such as To, From, Cc, Subject, contents, etc. Predicted locations are visually ranked, indicating probability and enabling filing to the correct matter with just one click. Automatic filing can be enabled with a set threshold (e.g. email that reaches a 95% confidence rank or higher will be automatically filed to the predicted matter).
  • De-duplication – Email is filed to the content management system once, regardless of how many individuals file it.
  • Folder Mapping – Select folders in Outlook and map to the document management system. Email filed to mapped folders will be sent to the DMS.
  • Global filing indicator – Email is visually tagged in Outlook for all internal recipients to see in their own mailboxes, indicating it has been filed to the DMS regardless of who in the firm filed it.

Integration Builder (IB) by Intapp is one of my favourite products. Drag and drop integration between web services, SQL, AD and fileshares – I wish I had this tool in my past life as a DBA at CU. It’s always had one fundamental flaw that hindered it’s real usefulness; but, good news – it’s just been solved.
